How to Scan an Order

Scan Order Sheet is a mobile feature that lets you photograph a distributor's order sheet or invoice, have the app read the line items automatically, and receive the delivery into inventory without typing each product in by hand.

Prerequisites

  • The ReRoute AI mobile app, with camera access allowed.
  • A physical order sheet or invoice from your distributor to photograph.

Steps

  1. Open the mobile app and go to More, then tap Scan Order Sheet.

  2. Capture -- Point your camera at the order sheet and take a photo. If the order spans multiple pages, capture each page; you can review and remove any page before continuing. Tap to extract the line items from your photos.

  3. Distributor -- The app reads the vendor name off the sheet and tries to match it to a distributor you already work with:

    • If it finds a confident match and you are already connected to that distributor, tap Continue.
    • If it finds a match but you are not yet connected, tap Connect & Continue to establish the relationship and move on.
    • If it cannot confidently match a distributor, search for and select the correct one from the list.
  4. Review -- Each extracted line item is matched against your product catalog and shown with its quantity, unit price, and a confidence indicator. Lines that matched show the product name, category, and sustainability score.

    • Any line that could not be matched shows a Map action -- tap it to search the catalog and pick the correct product yourself.
    • You cannot continue until every line is either matched or manually mapped.
    • If you have an open order with this distributor that looks like it matches the scanned sheet, the app will offer to receive against that existing order instead of creating a new one -- you can accept or decline this match.
  5. Assign -- Every scanned item defaults to your current location at its full scanned quantity. If a location need at another property is detected for an item, the app may suggest splitting some of the quantity there. Adjust the quantities and locations for each line as needed -- the total must always add up to the quantity you scanned.

  6. Confirm -- Review the summary (products, total units, order total, and the per-location breakdown), then submit:

    • If this is a new delivery, submitting creates the inventory the same way the Movement Wizard would.
    • If you matched an existing distributor order, choose whether the delivery was received in full (closes the order) or is a partial delivery (leaves it open), then submit to update that order.
  7. Success -- The app confirms the delivery was recorded. Your inventory levels update immediately at the assigned locations.

tip

If the app cannot read a page clearly (blurry photo, poor lighting), retake that page before extracting -- accuracy on the Review step depends on a clean capture.

note

Any ingredient or product line you have to manually map only needs mapping once -- once it is linked to a catalog product, future scans from the same distributor recognize it automatically.
