How to Receive Inventory
When a delivery arrives at your property, you record it as an IN movement so your inventory levels, forecasts, and sustainability scores stay accurate. There are two ways to receive product: the guided Movement Wizard for a full delivery, or Quick Scan for fast, one-item-at-a-time receiving at the dock.
Option 1: Movement Wizard (full delivery)
Best when a delivery has several different products and you want to review everything before submitting.
-
Click Inventory in the left sidebar, then click New Movement.
-
Choose the location the delivery is going into (e.g., "Main Storage").
-
Add each product from the delivery and its quantity. Search by name or UPC.
-
Select IN as the movement type.
-
Choose a reason code for the receipt and add any notes (for example, if an item arrived damaged or short). See Movement Reason Codes Explained for what each reason means.
-
Review the summary of products, quantities, and location, then submit. Your inventory updates immediately and the movement is recorded with its own history.
Option 2: Quick Scan Receiving (fast dock entry)
Best when you are receiving many items quickly and want to move through them one at a time without the full wizard.
-
From Inventory, click Quick Scan.
-
Scan or type the product's UPC/barcode. If it matches a product already in your catalog, its name and details fill in automatically.
-
Enter the quantity received (defaults to 1).
-
Submit. The item is recorded as an IN movement at your selected location, and the Quick Scan window stays open so you can immediately scan the next item.
-
Repeat for each product in the delivery.
If a scanned UPC does not match anything in your catalog, Quick Scan will let you know it was not found -- double‑check the barcode, or use the Movement Wizard to search for the product by name instead.
Verifying a delivery
After receiving, check that your inventory reflects what arrived:
- Go to Inventory and confirm quantities increased at the correct location for each product received.
- If something was missing or damaged from the delivery, use the Movement Wizard's notes field (or a follow-up Adjustment) to record the discrepancy so your records match what physically arrived.
Both receiving methods create a real, trackable movement -- there is no separate "draft" state for receiving. Double-check quantities before submitting.
