Frequently Asked Questions
Q: How do I reset my password?
Click "Forgot password?" on the login page and enter your email address. You will receive a reset link within a few minutes. If you do not see the email, check your spam folder. On your first login, you may be prompted to set a new password replacing the temporary one provided by your admin.
Q: How are sustainability scores calculated?
ReRoute AI uses a three-tier scoring approach. First, it checks the Climatiq emissions database for a known carbon footprint. If the product is not in that database, the AI analyzes the product's materials, packaging, and manufacturing to estimate impact. As a final fallback, it uses average scores for the product's category. Scores are refreshed automatically every 30 days.
Q: What do the sustainability score colors mean?
Scores range from 0 to 100. Green (80-100) means Excellent -- keep using these products. Yellow (60-79) means Good -- check whether better alternatives exist. Orange (40-59) means Average -- consider switching to an eco-alternative. Red (0-39) means Poor -- these are high priority for replacement.
Q: Can I export my inventory data?
Yes. Go to Reports in the sidebar, select your report type and date range, then choose your preferred output format: PDF for presentations, EXCEL for data analysis, or CSV for raw data. Generated reports are also saved in the History tab for future access.
Q: How do I add new locations to my account?
Go to Locations in the sidebar and click Add Location. Only users with the Tenant Admin role can manage locations. Each location can have its own inventory, NFC tag assignment, and staff.
Q: What is the difference between "Available Quantity" and "Current Quantity"?
Available Quantity equals Current Quantity minus Reserved Quantity. When a transfer is in progress, the products being moved are reserved -- they are still physically at the source location but cannot be used or transferred elsewhere. The Available Quantity tells you what you can actually use right now.
Q: What triggers a low stock alert?
Alerts are triggered when the available quantity (not the current quantity) drops below the threshold you set for that product. This means reserved items are excluded from the calculation, giving you an accurate picture of usable stock.
Q: How long does it take for the AI to respond?
Most questions are answered within 5-15 seconds. Complex queries like the Daily Briefing may take up to 30-60 seconds because up to five specialist AI agents work in parallel to gather data from inventory, forecasts, sustainability scores, and event intelligence. You will see a "Thinking..." indicator while the AI is processing.
Q: Do I need to choose which AI agent to talk to?
No. The system automatically routes your question to the right specialist. You simply type your question or tap a suggested prompt, and it figures out which specialist — Sustainability, Inventory, Insights, or Forecasting — should handle it, then combines their answers for you.
Q: What is a Par Level?
A Par Level is the AI-recommended ideal quantity of a product to keep on hand. It is calculated based on your historical usage patterns, day-of-week demand variations, and supplier lead times. When your stock drops below the par level, you should consider placing an order.
Q: How does demand forecasting work?
The forecasting engine uses a combination of machine learning models that consider your historical usage patterns, day-of-week trends (for example, weekends typically see 1.3-1.5x normal demand), seasonal patterns, upcoming events in your area, weather conditions, and occupancy data. Forecasts are available in 7-day, 30-day, and 90-day horizons.
Q: What does a wide confidence interval on a forecast mean?
A wide confidence interval means demand for that product is more variable and harder to predict. When you see a wide band, consider ordering to the upper bound of the forecast or keeping extra safety stock. A narrow band means demand is predictable and you can order closer to the forecast line.
Q: How do NFC transfers work?
NFC transfers use physical tags mounted at locations. To complete a transfer, staff tap their phone against the NFC tag at the source location to confirm pickup (status changes to In Transit), then tap at the destination to confirm delivery (status changes to Completed). Both scans are required for a verified transfer.
Q: What happens if a transfer is not completed?
If a transfer is not picked up or delivered within the timeout period, it is automatically cancelled by the system and any reserved quantities are released back to the source location. This prevents products from being locked indefinitely.
Q: Why does inventory get reserved during a transfer?
Reservations prevent double-booking. When you initiate a transfer of 5 units, those 5 units are reserved at the source location so no one else can transfer or use them simultaneously. The available quantity decreases, but the current quantity stays the same until the transfer completes.
Q: What report types are available?
ReRoute AI offers Movement Reports (audit trails), Usage Reports (consumption patterns), Sustainability Reports (carbon footprint and ESG data), Waste Reports (spoilage and disposal), Cost Reports (spending analysis), and Inventory Turnover Reports (efficiency metrics).
Q: Can reports be scheduled for automatic delivery?
Yes. On the Reports page, configure your report settings and click Schedule Report instead of "Generate Report." You can set the frequency (daily, weekly, monthly), delivery day and time, recipients, and format. Manage your schedules on the Schedules tab.
Q: What is the branding fallback on reports?
When you toggle on custom branding, the system looks for branding in this order: your location-level branding first, then your tenant (organization) branding, then the platform default. This means your reports always have some branding even if you have not configured a location-specific logo.
Q: How do I find eco-friendly alternatives to a product?
Open the product's detail page by clicking on it in the Products catalog. Scroll down to the Eco-Alternatives section to see AI-recommended substitutes. Each alternative shows its sustainability score and how it compares to your current product. You can also use semantic search -- try searching for "sustainable alternative to [product type]."
Q: What is the Swap Suggestions feature?
Swap Suggestions proactively identify your highest-impact substitution opportunities -- products where switching to an alternative would improve your overall sustainability score the most. Find swap suggestions on individual product detail pages in the eco-alternatives section.
Q: When should I use auto-reorder vs. manual ordering?
Use auto-reorder for high-volume consumables with predictable demand (straws, napkins, paper towels). Use manual ordering for alcohol and regulated items that need approval, seasonal products with variable demand, and expensive specialty items that benefit from review before purchase.
Q: What roles are available and what can each role do?
Staff can view inventory, create transfers, view reports, and use the AI chat. Location Managers can do everything Staff can plus configure alerts for their staff. Tenant Admins can additionally manage locations, users, and all settings. Corporate Admins get cross-brand analytics and consolidated reporting across all properties.
Q: What does the "hasCorporateAccess" flag do?
The corporate access flag adds corporate-level viewing access on top of your existing location-level role. It does not replace your role -- it supplements it. With corporate access, you can see cross-brand analytics and consolidated reports across all properties in your organization.
Q: How do I get the most out of the AI chat?
Be specific with your questions. Instead of "How's our inventory?" try "How much Diet Coke do we have in the Pool Bar?" Use location names, ask for comparisons, and request specific actions. You can also ask follow-up questions to drill into details. Generating today's briefing is the single best habit to adopt -- do it at the start of every shift.
Q: What payment methods do you accept?
We accept all major credit cards (Visa, Mastercard, American Express), ACH transfers, and invoice/PO billing for Enterprise accounts.
